Find the moments where AI can remove friction while keeping important judgment visible.

The idea

Productivity is not doing every task faster. It is spending less effort on mechanical work so attention remains available for decisions, relationships, and craft. Begin with the flow of a week rather than a list of AI features.

Mark tasks by the kind of work involved: retrieve, transform, generate, decide, or act. AI is often useful for transformation and generation. Retrieval needs trustworthy sources. Decisions and actions need clear accountability and, in many cases, human approval.

Also identify friction: searching across notes, rewriting the same explanation, changing formats, preparing recurring documents, or extracting actions. A modest improvement repeated every week is more valuable than an impressive demo you never use.

Try it now

  1. Sketch your last five working days as blocks: communication, meetings, research, planning, creation, and administration.
  2. For each block, name the recurring input, output, and person responsible for approval.
  3. Label each task retrieve, transform, generate, decide, or act.
  4. Select two transformation or generation tasks with safe inputs and easy review.
  5. Estimate a baseline: current time, number of revisions, or typical delay.

Quality check

  • The use case solves repeated friction rather than adding a new ritual.
  • The reviewer and final decision are named.
  • Sensitive data and workplace policy were checked.
  • The baseline will let me see whether the workflow helps.
